This document describes how Scan145 ("we," "our," or "us") handles information and sets the terms for using the Scan145 mobile application (the "Application").

1. Information Collection and Use

Document and OCR Data (Local Processing & Optional Cloud)

Scan145 requires access to your device's camera or image gallery to function as a document scanner and OCR tool.

• All core document data—including captured images, generated PDFs, customized templates, extracted text, and tracked values—is processed and stored locally on your device in an embedded database.
• We do not collect, store, or transmit your scanned documents, personal records, or template configurations to our servers.
• If you explicitly choose to use optional Cloud OCR features (such as Google Cloud Vision or Vertex AI) for enhanced accuracy, the specific images you select will be sent to those third-party services for processing, subject to their respective privacy policies.

Device and Usage Information

We may collect limited technical data necessary for functionality, updates, advertising, and related app services, including:

• Device type and model
• Operating system version
• IP address
• App usage data via third-party services

This technical data does not include your scanned documents, extracted values, or locally stored JSON backups.

2. Permissions

The Application may request the following permissions:

• CAMERA — to capture photos of printed documents, tables, and forms for digitization.
• STORAGE / MEDIA — to import images from your gallery and to export multi-page PDFs or JSON backup files to your device.
• INTERNET — for optional Cloud OCR processing, app updates, ad display, and communication with third-party services.

3. Third-Party Services

Scan145 may use third-party services for Cloud OCR, analytics, crash reporting, updates, or advertising, including:

• Google Play Services
• Google AdMob
• Firebase
• Google Cloud Vision / Vertex AI (if utilized by the user)

These third-party services may collect and process data according to their own privacy policies.

We do not control how these third parties handle your data.

4. Data Retention and Deletion

• Your scanned PDFs, extracted OCR data, trend history, and custom templates remain securely on your device.
• You can modify, export, or delete this data at any time within the app or through your device's file manager.
• Uninstalling the app may remove all app-related local data, including your embedded database and tracking history. We highly recommend using the JSON backup feature before uninstalling if you wish to keep your data.

5. Data Security

Data used by the core scanning and tracking functionality is stored locally on your device. Its security depends in part on your device's protection, such as a screen lock, system security, and device encryption.

6. Children’s Privacy

The Application is not intended for children under the age of 13. We do not knowingly collect personal data from children.

7. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Any changes will be posted in the Application, on the app listing page, or in an updated version of this document.

Terms of Use

1. Acceptance of Terms

By downloading, installing, or using Scan145, you agree to these Terms of Use.

If you do not agree to these Terms, please do not use the Application.

2. Use of the Application

You agree to use the Application only for lawful purposes and in accordance with these Terms.

You must not:

• Use the Application in any way that violates applicable laws or regulations.
• Attempt to reverse engineer, decompile, or modify the Application, except where permitted by law.

3. User Data Responsibility

Your scanned documents, PDFs, tracking charts, JSON backups, and custom templates are managed by you on your own device.

You are solely responsible for:

• The accuracy of the OCR extraction and any manual corrections made to your data.
• Any decisions made based on the trend charts and deviation alerts provided by the app.
• Backing up your own data (using the provided JSON export tools) when necessary.

We are not responsible for accidental data loss, deletion, corruption, or modification occurring on your device or through your use of the Application.

4. Third-Party Services

The Application may use third-party services, including ad, analytics, cloud OCR, crash reporting, and update-related services.

We are not responsible for the content, availability, behavior, or data practices of those third-party services.

5. Advertisements

The Application may display advertisements provided by third-party advertising networks.

We do not control the content of advertisements shown within the Application and are not responsible for third-party advertising content or linked destinations.

6. Disclaimer of Warranties

The Application is provided on an "as is" and "as available" basis without warranties of any kind, whether express or implied.

Scan145 is a digitization and tracking aid intended purely for informational purposes.

We do not guarantee that:

• The Application will be uninterrupted, secure, or error-free.
• Any defects will be corrected.
• The OCR text recognition will be 100% accurate, as accuracy can vary depending on document condition, lighting, camera quality, and handwriting.
• The Application will meet all of your requirements or expectations.

7. Limitation of Liability

To the maximum extent permitted by applicable law, we are not liable for any indirect, incidental, special, consequential, or exemplary damages, including but not limited to data loss, device issues, loss of profits, or other losses arising out of or related to your use of the Application.

8. Termination

We may suspend, restrict, or terminate access to the Application at any time, without prior notice, if necessary.

9. Changes to Terms

We may update these Terms of Use from time to time. Your continued use of the Application after any update means that you accept the revised Terms.
